Minutes of the Alliance for Computers and Writing Board Meeting, 5-20-95

Trent Batson, Director of the ACW, called the meeting to order at 12:04 pm in the Angus Room of the Camino Real Hotel.

ELECTION OF THE BOARD OF DIRECTORS

Reading and acceptance of the minutes was waved. Trent greeted the new Board of Directors of the Alliance for Computers, which will serve from May 1995 to May 1996.

ELECTION OF THE CHAIR OF THE BOARD AND TREASURER

Trent called for the election of a chair of the board and a treasurer of the organization. Nominees were Wayne Butler, Mike Palmquist, and Judi Kirpatrick. Judi was elected Chair of the Board of Directors. Nominees for Treasurer were Cindy Wambeam and Wayne Butler. Cindy Wambeam was elected Treasurer of the Alliance. The Board enthusiastically congratulated Judi and Cindy.

Trent turned the meeting over to Judi. The new Chair then called for the Director's report.

DIRECTOR'S REPORT

Trent reported that the election of the Board promises to provide a new and vigorous guidance for the ACW. He briefly discussed the history of the ACW, the intentions of the ACW founders, and the willingness of the ACW to respond flexibly to experience. For instance, the original design included an extensive outreach through postal mail and postal distribution of hardcopy newsletters, but the difficulties of acquiring corporate funding and the expense of distributing hardcopy materials forced the ACW to move to a concrete membership structure and a principally Internet form of communication. Trent then described the progress of several "projects" of the ACW (listed soon in the ACW web pages).

Trent regretfully announced the resignation of John OConnor from the role of Associate Director of the ACW. John has become a Dean at George Mason University and simply cannot continue to contribute the time the ACW requires. He will still work actively within the Mid-Atlantic region, and will remain a good and important friend of the ACW.

ASSOCIATE DIRECTOR'S REPORT

Fred defined the associate director's role as consisting of two parts: director of the regionals structure and supervisor of the ACW's Internet resources. For the former, little national progress has been made since CCCC in March, and for this Fred accepted responsibility. But the ACW Web pages have experienced considerable expansion. Fred recommended expanding the production staff for ACW Connections, considering a small dues structure for the ACW, and an August 1 deadline for the Board in considering new by-laws (The full report is to be included soon on the ACW web pages.)

DIFFICULTIES OF ACCESSING THE ACW WEB PAGES

In response to Judi's request for comments on the director's and associate director's reports, Tony Rue commented how occasionally difficult it was to access the ACW's web server, and several board members agreed. A discussion regarding possible reasons for the difficulty. Tony and Judi suggested allievating the problem by "mirroring" the ACW html documents on servers at the University of Florida and Kapi'olani Community College, and this suggestion was greeted warmly by all. A subcommittee of Fred, Tony, and Judi was formed to e-discuss the matter further.

INITIAL ONLINE VOTING ON THE BY-LAWS

On the matter of by-laws, John OConnor recommended procedures for voting for issues online. The board concluded that until the by-laws (established through a specific vote of the Board) determined official policies, that a simple majority of the total Board would constitute an online quorum, and all issues would be determined by a majority vote of that quorum.

DUES STRUCTURE

Mike Palmquist recommended that a tiered dues structure be considered, or possibly volunteer contributions. Several members of the Board agreed and the Board decided to table the issue pending development of the by-laws.

ACW CONNECTIONS

Carolyn Handa brought up the matter of continuing to produce a hardcopy version of the ACW Connections, the ACW's newsletter. Carolyn and others felt that a nicely produced, physical manifestation of the newsletter provided strong support in workshops and regional meetings. Several possibilities for generating a hardcopy version of Connections were discussed.

SUBCOMMITTEES ESTABLISHED

The following subcommittees were established by the Chair to e-discuss principal issues of the ACW.
Needing to vacate the room by 1:30, Judi suggested that the meeting adjourn. But before it adjourned, she asked the Board to thank Trent, John, and Fred for their start-up efforts, their imagination, and their faith in the possibilities of the ACW. And the Board graciously did so.

The meeting adjourned at 1:28 pm.
